Mobile Inventory delivers real-time stock tracking, paperless inventory and smart automation for warehouses, shops, picking operations and parcel management. It pairs a Windows back-office application with an Android front-office app that reads barcodes, QR codes and RFID, works fully offline and synchronizes with the central database when back online. Out-of-the-box it supports inventory counts, stock verification, receipt/delivery and picking documents, label printing and CSV/Excel import-export — all in Romanian, English, Bulgarian and Hungarian.
Real-time inventory & stock verification
Operators count products either by entering a quantity or by scanning each barcode individually. Stock verification shows the current system quantity next to the counted quantity, with full historical tracking of previous counts. Multiple inventories can be open at the same time — useful for large warehouses counted by zones — and validated inventories flow back into the ERP as a single document. The app highlights discrepancies, flags unknown SKUs and lets the operator add a new article on the fly if authorized.
Documents: receipt, delivery, picking, transfer
Beyond inventories, Mobile Inventory creates and validates the operational documents that drive a warehouse: inbound receipts, outbound deliveries, picking lists for shipments and inter-location transfers. Each document type has a configurable workflow with optional scan verification, partner selection, lot and expiry capture. In retail scenarios the app answers the question “is this item in stock?” in real time at the shelf, while in fulfillment it drives the picking and packing steps.
Label design, printing & barcode collection
Custom labels can be designed in the back-office with a WYSIWYG editor and printed directly from the mobile app on any network or Bluetooth label printer. Labels support variable data — SKU, batch, expiry date, location, serial — and GS1-compliant structures. For customer stock-takes the application can also operate as a pure barcode collector, reading and storing thousands of scans on-device and uploading them in batch.
Cloud sync, offline mode & alerts

How Mobile Inventory Works
Step 1: Initialize inventory from WMS
Define the inventory type (full/partial/by location), time period, and counting teams. WMS automatically generates work lists per operator.
Step 2: Scan with handheld terminal
Operators scan product barcodes or RFID tags directly on the shelf. The mobile app displays the name, unit of measure, and validates the entered quantity. Discrepancies from the theoretical stock are highlighted immediately.
Step 3: Automatic reconciliation and adjustment
WMS compares scanned quantities with book inventory. Differences are grouped in a discrepancy report. The supervisor approves adjustments, which are processed automatically — no manual re-entry.
Step 4: Reports and audit trail
Each inventory generates a complete register: who scanned, when, and what quantity. Reports are exportable to Excel or PDF for the inventory committee and external auditors.
Answers to your questions
Can I do selective inventory, only for certain product categories?
Yes. Mobile inventory supports filtering by category, location, supplier, or any defined criteria. You can count one category daily (cycle counting) without blocking the warehouse.
What if WiFi signal is weak in the warehouse?
Terminals support offline mode: scans are saved locally and automatically synchronized when the connection is restored. You never lose a scan.
How do I handle large discrepancies?
WMS can configure alert thresholds (e.g., differences > 5%). Large differences require manager confirmation before processing. There is also a mandatory recount option.
Can it be used on existing mobile terminals?
Yes. The app runs on any Android terminal with integrated barcode reader (Zebra, Honeywell, Urovo, Datalogic, etc.) or on a standard smartphone with a camera.
