Process

How to Manage an Event from A to Z

Step 1: Quote creation and stock reservation
The salesperson creates the event quote directly in the system: list of required equipment, quantities, delivery and return dates. The system checks availability and automatically reserves stock for the event period.

Step 2: Preparation and verification in warehouse
The warehouse operator receives the preparation list on a mobile terminal. Scans each item when picking, checks physical condition, and completes the set for transport. Shortages are alerted immediately.

Step 3: Delivery and customer confirmation
The driver receives the route sheet on mobile (integrated with TMS). Upon delivery, the customer digitally signs confirming received items. Any difference from the order is recorded on the spot.

Step 4: Return and post-event processing
When returning equipment, the operator scans each item, marks the condition (good/damaged/missing), and automatically processes any penalties. Stock becomes available immediately for other reservations.

How do I manage equipment with unique serial numbers?

Each valuable piece of equipment (projector, LED screen, audio system) has a serial number and individual tracking. You know exactly where each unit is, its usage history, and current condition.

Can I see which equipment is available for a specific date?

Yes. The availability calendar shows, for any equipment or category, busy and free periods. Booking is done directly from the calendar with automatic conflict checking.

How do I handle loss or damage of equipment?

Upon return, the condition is marked in the system. Damage can automatically generate a penalty invoice or a repair order. Damaged equipment is removed from available stock until repaired.

Can it integrate with invoicing systems?

Yes. The rental automatically generates the service invoice with all items and applied charges. Integration with Oblio.eu and SmartBill for automatic e-Invoice issuance.
